Contact Center Manager Position: West Michigan Dental Group Seeks Service-Minded Leader

As our Contact Center Manager (or as we like to call it Engagement Center), you'll lead a team of service representatives and ensure every patient interaction—whether via phone, email or chat—exceeds expectations. You'll work alongside your team performing and modeling duties associated with call center operations. In addition, you will coach and develop team members, identify opportunities to strengthen processes, and work closely with our 7 homegrown dental offices to anticipate and address patient needs. Who You’ll Be Working With:
We're looking for someone who can not only provide expert service to patients, but also coach, train, mentor, motivate, and lead a team of Patient Advocates. With the guidance and support of our Leadership Team, you will have the freedom to establish priorities and select the most effective methods in managing a team of dedicated professionals who focus on providing the highest quality care possible. You will be empowered to work autonomously and trust your expertise to drive successful outcomes. In addition to your team, you will work closely with all organizational departments including, Leadership Team, Insurance & Accounts, Office Managers, Clinical Directors, and Doctors.

Overview of Key Responsibilities & Skills:
- Serve as the primary contact for managing the phone and VOIP systems with the vendor, ensuring that all systems are operating smoothly and efficiently.
- Perform all Engagement Center job functions
- Conduct daily call monitoring and provide feedback and coaching to team members to improve their performance and knowledge. This coaching should be geared toward training team members to become more effective in their roles.
- Demonstrate strong language skills, both in writing and orally, with a proven ability to effectively communicate with team members and provide leadership where needed.
- Possess strong computer skills, including proficiency in Microsoft Office/Google Business Suite and experience with telephone software systems. Additionally, this role requires a systems-oriented mindset and the ability to learn new tools and platforms quickly.
- Provide problem-solving support to all department team members on a daily basis. Give clear instructions and direction to ensure team members stay focused and achieve results.
- Actively support marketing campaigns and provide internal training when necessary. Ensure team members have the support and resources they need to succeed in their roles.
- Effectively manage the staffing of the Engagement Center, including scheduling and approving time off requests for employees.
- Demonstrate strong communication, leadership, and motivational skills to effectively direct and guide a team of individuals. Ability to efficiently and tactfully handle conflicts and personnel issues while maintaining high levels of team performance.
- Conduct comprehensive phone and Engagement Center training for new hires during orientation to ensure proficiency in service delivery.
- Actively monitor and assess performance, including self-assessment, of individuals and the team as a whole to identify areas for improvement and initiate corrective action as necessary.
- Possess exceptional organizational skills to efficiently manage tasks and duties, while adhering to strict deadlines and standards.
- Possess in-depth knowledge of accounting, business principles, and the dental industry to make informed decisions and work towards achieving staffing benchmarks.
Key Performance Indicators:
- Incoming phone call answer rate
- Close rates for both New Patients & Existing Patients
Position Type & Hours:
- The position requires a full-time commitment for 40 hours per week.
- Work will be conducted on-site from Monday to Friday, with 8-hour shifts.
- Limited overtime/weekends may be required, but only with approval from the Director
Education and Experience:
- An Associate’s or Bachelor’s degree in Health/Science or Business is required.
- The candidate should have a minimum of three years of experience managing employees in a healthcare environment.
- Advanced conflict resolution skills, as well as continuous improvement/Lean management experience, are highly preferred.
- Experience with scheduling multiple providers is a must.
- Must coordinate with other Office Managers in multiple locations
- Understanding of insurance benefits and billing.

Requirements and Responsibilities
You’ll need to have:
- DDS/DMD degree
- Advanced training in pediatric dentistry from an ADA accredited program and Board certification is also required.
- Unrestricted license to practice dentistry in the State of Michigan
- Clinical knowledge to practice comprehensive pediatric dentistry, including diagnosis and treatment of pediatric oral health issues
- Desire to continue learning and grow clinical skills to meet needs of patients
It’s a plus if you have
- 1-2 years or more of pediatric clinical experience
- Desire to gain knowledge in all facets of pediatric dentistry through provided CE

Practice Location
Hudsonville Dental Kids is located in Hudsonville, MI, a suburb of Grand Rapids. Our newly renovated pediatric office is next door to our first practice Hudsonville Dental (Established 40+ Years Ago) and our MI Smiles Dental Group home office.
Hudsonville, MI is nestled in between one of Michigan's greatest cities, Grand Rapids and one of its greatest lakes, Lake Michigan. Both are within a 20-30 minute drive from the office.

- Maintain documentation and charts on each patient
- Monitor supplies
Skills
- Proven experience as Dental Hygienist or similar role
- In-depth knowledge of health and safety regulations in this profession (e.g. HIPAA)
- Experience in preparing and maintaining dental equipment
- Outstanding communication skills
- A patient and friendly personality
- Attention to detail
- Stamina to meet the physical demands of the job
- Diploma in Dental Hygiene; Master’s is a plus
- Valid license to practice
